Description:                 The Education Services Clerk provides clerical support to the department, performing clerical functions, printing test booklets, entering data and serving as back up to the front reception area. The successful applicant will be friendly, helpful and able to foster effective communication among community members, staff members, and the public. The Education Services Clerk will maintain all aspects of the district’s McKinney-Vento program as well as being the coordinator of state required Second Language Learner program including compliance and assessment.

 

Qualifications:

 

  • High School Diploma or equivalent is required;
  • Associate of Arts Degree is preferred;
  • Three years of secretarial experience is preferred;
  • One-year experience working in an area supporting administration in an educational setting;
  • Proficiency in office software (Word, Excel, etc.);
  • Proficiency in using office equipment (such as copiers, fax machines, multiline phone system, printers);
  • Must type 55 words per minute with accuracy (test required);
  • Strong communication and interpersonal skills;
  • Strong organizational and planning skills;
  • Must be an energetic, highly ethical and be in good emotional and physical health – allowing for extensive walking at school sites when required;
  • Valid Driver’s license and clean 36 month driving record required, driving to school sites required;
  • Ability to walk back and forth as required for daily completion of work related tasks;
  • Bilingual required (Spanish);
  • Proficiency in the English language including verbal communication, reading and writing (spelling, punctuation and grammar – applicants will be tested);
  • Knowledgeable about administrative and clerical procedures;
  • Knowledgeable of or willing to become familiar with district policies, procedures, rules and regulations;
  • Ability to lift 40lbs.Alternatives to the above qualifications as the Governing Board or the Superintendent may deem appropriate*

  • Lift and move reams of paper, boxes of testing booklets and printing supplies;

 

Essential Duties and Responsibilities:

 

  • Provide general secretarial services to supervising directors;
  • Periodically meet with building secretaries as requested to share information;
  • Establish and support a welcoming climate and culture for all students, parents, community, etc.
  • Compose and/or type letters, bulletins, memos, handbooks, newsletters, etc.
  • Function as the McKinney Vento Homeless Program Coordinator across the district, this responsibility includes training all employees annually, coordinating transportation and communicating extensively with parents, school administrators and relevant district personnel;
  • Maintain confidentiality of student, staff and family information;
  • Coordinate preparation and distribution of testing materials as needed, including making copying and collating;
  • Coordinate preparation and distribution of grade level math review books including copying and collating
  • Assist Academic Services with student language assessment at all school sites;
  • Effectively communicate with site administrators and staff;
  • Assist site ELL clerks with administering on-site student assessments;
  • Enter payroll action requests into electronic system;
  • Assist with front desk reception duties daily as needed;
  • Access Arizona Department of Education information in order to complete student enrollment data;
  • Enter, track and manage student data information onto electronic systems;
  • Maintain accurate assessment data;
  • Assist with receiving assessment materials, inventory of materials, distribution and collecting of materials;
  • Assist with obtaining and coordinating needed resources for students;
  • Request and forward student records in accordance with Federal and State laws and regulations;
  • Initiate purchase order requisitions as requested;
  • Learn to operate unfamiliar office technologies and or software as necessary;
  • Answer telephones provide accurate information, screen calls, answer questions, take messages or transfer to appropriate individuals;
  • Receive visitors, provide information, answer questions or direct inquiries to appropriate individuals;
  • Coordinate meeting logistics, including location and food items;
  • Participate in district sponsored professional development workshops/inservices, attend on-going training classes and meetings as directed;
  • Maintain strict confidentiality and use appropriate discretion when working with all district personnel and student and family records and/or information;
  • Work collaboratively with district SAIS Data technician to ensure accuracy of student data;
  • Enter payroll action request documentation as appropriate,
  • Support and follow the rules, regulations and policies set by the School Board and District;
  • Perform all other duties as assigned by the School Governing Board and supervising administrators.

 

Length of Employment:

 

  • Twelve (12) months

 

Reports to:                   Academic Services Director, Curriculum Director, and Data Analysis Director

 

Evaluation:                  Performance to be evaluated in accordance with Governing Board Policy GDO
